File Setup Guide
Set Your Files Up for Success
To ensure the highest quality results and fastest turnaround, please follow the guidelines below when preparing your files. Proper file setup helps us avoid delays, minimize revisions, and ensure your project prints exactly as intended.

Accepted File Formats
We recommend submitting print-ready files in the following formats:
- Adobe Illustrator (.AI)
- Adobe InDesign (.INDD)
- Print-ready PDF (.PDF) (preferred)
- Photoshop (.PSD) (for raster artwork only)
Please include all linked images and fonts or outline fonts before submission.
File Requirements
Resolution
- Minimum 300 DPI for all raster images
- Avoid low-resolution images pulled from the web (72 DPI)
Color Mode
- Use CMYK color mode for all print files
- Convert spot colors to Pantone (PMS) if specific color matching is required
- RGB files:
- The Risk: If you submit an RGB file, the colors may look “muddy” or significantly different once printed, especially vibrant blues and greens.
Bleed & Trim
- Include 0.125″ (1/8”) bleed on all sides
- Bleed:
- .25 in preferred .125 in is acceptable for single sided printing. .25 in is needed for 2-sided printing.
- Keep all critical elements within the safe zone (0.125” inside trim)
- Clearly define trim lines if not included in dielines
Fonts
- Outline all fonts OR provide font files
- Avoid missing or substituted fonts
Specialty Finishes (Foil, Spot UV, & Embossing)
- Layer Organization: Place all specialty elements on a dedicated layer, separate from the CMYK artwork. Name the layer clearly according to the finish (e.g., “Foil Layer” or “Spot Gloss”).
- Spot Color Assignment: Use a distinct Spot Color (set to 100% opacity) to define the specialty areas. This ensures the printer can isolate the finish from the rest of the design.
Dielines & Structure
For packaging, displays, and custom projects:
- Use the provided PriZm dieline when applicable
- Do not modify structural dielines without approval
- Keep dielines on a separate, locked layer
- Clearly label:
- Cut lines
- Fold/score lines
- Glue areas
- Do not place artwork on non-printable areas (glue flaps, folds unless specified)
Images & Graphics
- Use high-resolution, print-quality images (300 DPI)
- Embed or include all linked images
- Avoid RGB or indexed color images
- Ensure graphics extend fully to bleed when required
Color Accuracy
- Provide Pantone (PMS) colors for brand-critical elements
- Be aware that colors may vary across materials (corrugate, plastic, etc.)
- Request a proof or press check for critical color matching
File Packaging & Submission
Before sending your files:
- Package all working files (links + fonts)
- Include a print-ready PDF for reference
- Clearly name files (e.g., Brand_Product_Version_Date)
- Indicate final size and quantity
Proofing & Approvals
- All jobs require final artwork approval before production
- Carefully review:
- Copy and spelling
- Layout and positioning
- Colors and images
- PriZm is not responsible for errors after final approval
Common Issues to Avoid
- Missing fonts or links
- Low-resolution images
- Incorrect color mode (RGB instead of CMYK)
- No bleed included
- Artwork placed in non-printable areas
- Incorrect dieline usage
